Daviess County Library Board Meeting
August 16, 2018 at 4 p.m.
The board met in the basement at the main library.
Present: Daren Adkins, Shonna Morrison, Kelvina Hobbs, Mary Jarboe (via phone call), Gregg Hartley, and interim director Elizabeth Plotner.
Daren called the meeting to order at 4:00 pm.
The board reviewed the minutes of the July 19, 2018 meeting. Kelvina moved that the minutes be accepted as amended. Shonna seconded the motion, which passed unanimously.
The board reviewed the bills and financial reports. Gregg moved to pay the bills and Shonna moved to second the motion, which passed unanimously.
Elizabeth presented her director’s report. She attended the Rolling Hills conference about cataloging and also completed another human resources seminar. The hot spot that has been used at Winston lapsed and had to be renewed. In June there were 80 checkouts on Access360. Bookapalooza distributed 74 more books. Peggy Langford sent her credentials for teaching the exercise class for seniors. Elizabeth is going to attend four Summer Reading Workshops. Some of these will be physical trips, and some will be virtual workshops. She will be visiting area schools to encourage use of the ecards. A new thermostat has been installed, but one of the air conditioner units is not working. She informed the board on how the petty cash account is used. In September the library will have a “slime class” taught by Kendra McMahon during Chautauqua. The library has received the NASA telescope. “Explore Space”, the traveling exhibit, will be here during January and February. Elizabeth is starting work on the budget for next year.
The board examined correspondence. Elizabeth will take care of the GRM Telephone proxy form.
Action on the gas wells was tabled. Elizabeth is working on a Summer Reading appreciation event on September 15 during Chautauqua.
The board discussed the proposed new bylaws, specifically the difficulties and advantages of including a “gap” between terms (essentially a term limit) that would allow that board member to return. The bylaws will need revision as regards the usual meeting date also.
The tax levy hearing will be held on Monday, August 27, 2018 at 5 p.m. in the upstairs conference room. Elizabeth will post the meeting at the library and at the post offices throughout the county.
The HVAC system has some major problems and is over 20 years old. Daren will attempt to locate an expert on HVAC to do an evaluation of the library’s needs with several options, so that the board can make a more informed decision regarding the system.
The consensus of the board was that a temporary solution to secure air conditoning for the remainder of the season be pursued within the constraints of the existing budget.
Mary moved that the meeting be adjourned, and Gregg seconded the motion, which passed unanimously. Meeting adjourned at 6:22 pm.
